Adding basic condition, priority and maintenance due date information to Items and Components.

Introduction

Once you get down to Item and Component level it is possible to add additional information relating to object condition and priority. It is also possible to allocate new maintenance tasks (quick tasks, user defined tasks, client and site standard tasks or any task from the full NSR lists) against the new resource as you create the resources. (This can also be done later, so adding them at this stage is entirely optional, but very useful when undertaking an initial condition survey)

Setting condition, priority and basic tasks

When adding Items and Components, there are additional fields for condition (1), priority (2), CIPFA priority (3) and maintenance due dates (4). These are used to record the status of the object at the time of data entry and can be subsequently changed if necessary. The Maintenance due date is used when new scheduled maintenance tasks are allocated against the Item or Component - the date entered here will be used as the start date for new maintenance tasks.

From this single form you can also specify a simple action required (5) along with estimated cost (6). Alternatively you can create and define a new user standard task using the orange form (7).

You can specify whether the tasks are to be one-time only (8) or you can specify a repeat interval for repeating tasks (9) and include an estimate of time required (10).

Any notes added to the notes field (11) will be added to the task as additional information about what action is required.

When you confirm the item, new tasks will be created in the tasks list for the item and the due dates will be set, effectively adding the task to the tasks schedule.

Selecting and adding a standard task

You can choose any tasks that are already set up as standard tasks (for the site or the client) by clicking the 'standard tasks' tab.

Add a standard task by clicking the target button (1) on the appropriate line. The task will be added to the current selection list (2). Any due dates, priorities and one-time or repeat information already entered on the 'add resource action' tab will be copied across and entered against this individual task.

NOTE: these values can be changed in the current selection list on a task by task basis allowing you to set different due dates, priorities and repeats for each task as you add them to the list.

Selecting and adding a task from the full NSR lists

If the task you require is not already set up as a standard task, you can find and choose any task from the full NST lists (composite tasks or individual component tasks) by clicking the 'all tasks' tab.

The 'all tasks' tab shows 2 lists side by side - on the left are the composite tasks and on the right are the single component tasks. You can use the filter buttons (1 and 2) to find specific tasks on either list.

Add a task by clicking the target button (3 and 4) on the appropriate line. The task will be added to the current selection list (5). Any due dates, priorities and one-time or repeat information already entered on the 'add resource action' tab will be copied across and entered against this individual task.
