Preference settings that apply to all users
On your home card there is a Preferences button - click this to access your personal preference settings for Flow360
(1) Allow multiple logins on this account - default is 'Yes'. Set to No to restrict access by yourself to only one computer at a time. Remember that access is secure and password protected so setting this to No is not recommended for most users.
(2) Show tooltips - generally this can be left on but if the tooltips annoy, set this to No!
(3) Default access setting for contacts that you add to Flow360 - default is 'private'. You can change the setting restrospectively for any contacts that you have added. Once a contact becomes a user of Flow360 you no longer have the right to change their privacy setting - only they can!
(4) Access to view my comms details - if you want other users to be able to see your email and phone numbers, set this to Yes. Otherwise set to No
(5) Default access setting for documents that you add to Flow360 - default is 'public'. This means that anyone who can access an object (resource, works order, inspection record etc) that a document is linked to can access and share the document. You can change the setting restrospectively for any documents that you have added.
Other document access setting options:
• client group - restricts access to those in the same client group as you. This means other client admin or client staff users.
• site group - restricts access to those who work on the same sites as you. This means client admin, client staff, managers and surveyors.
• services group - restricts access to those who work on and provide services on the same sites as you. This means client admin, client staff, managers, surveyors, service providers
(6) Allow others in access group to change document access rights - default is 'No'. Set this to Yes to allow any others in the specified group (client, site or provider) to change the document access rights on documents that you have added to Flow360.
(7) Warn if doc is too big for PDA - NOT CURRENTLY IN USE!
(8) Provide additional feedback - default is 'No'. Set this to Yes to have additional dialogs show during operations to give more feedback and confirmation of steps.
(9) Standard hours in working day - used as the basis for calculating hours used for tasks etc
(10) Working day start and end times - used in setting dialogs etc and for calculating working hours for calendar displays
(11) Calculate tasks costs option (only available for some users) - default is 'most recent'. This means that task repetitions (and costs) will be calculated from the most recent execution of each task prior to the date range in question. Set to start date to force recalculation from the start date of the task irrespective of delayed executions or other timing changes that may have occurred in the meantime. The recommended setting is 'most recent' as this will generally be more accurate.
(10) The email address to use as the reply to address for emails sent from within Flow360.
(11) Receive messages by email option - default is 'No'. Set this to yes in order to receive automatically generated messages by email.
(12) Receive meesages by SMS option - default is 'No'. Set this to yes in order to receive automatically generated messages by SMS. NOTE: there is a charge for this service.
(13) About button - click to see info about this release of Flow360.
(14) Change password button - click to set a new password on your account.
(15) Licence button - click to see the current licence agreement.

NOTE: There will be a charge made for messages sent by SMS. Flow360 passes this charge on directly to the client of the relevant resources
On this tab you can set up additional labels and data types that you would like to use on your own or others contacts cards. This information is only ever visible to you - each user of Flow360 can have their own independent (and completely private) sets of custom data that they can use on any contact cards that they have access to.
This tab allows you to specify if you want to receieve occasional communication from Flow360 Limited about services.
The print options tab allows to set up defaults for report outputs and to select a default printer if there is one available on your system.
